About IGE-SRH: IGE-SRH is a youth-led sub-national non-profit organization dedicated to improving the lives of LBQTI individuals who have faced discrimination and exclusion due to their sexual orientation, gender identity, expression, and sexual characteristics. Our mission is to enhance the knowledge, skills, and agency of LBQTI individuals through advocacy, knowledge generation, information sharing, partnership, and capacity building.
Position: The Executive Assistant to the Executive Director will play a pivotal role in supporting the efficient and effective functioning of the Executive Director’s office. This position will involve a diverse range of administrative, organizational, and coordination tasks, ensuring seamless operations within the organization and enabling the Executive Director to focus on strategic priorities and initiatives that advance the mission and vision of IGE-SRH.
Key Responsibilities:
- Executive Support:
- Provide comprehensive administrative support to the Executive Director, including managing schedules, organizing meetings, coordinating travel arrangements, and preparing necessary materials.
- Prioritize and manage multiple tasks simultaneously, ensuring timely completion and adherence to deadlines.
- Conduct research and compile information to support decision-making processes and facilitate effective communication.
- Communications and Correspondence:
- Draft and prepare correspondence, memos, reports, and presentations for the Executive Director.
- Serve as a primary point of contact for internal and external stakeholders, exercising professionalism and discretion in all interactions.
- Manage incoming communications, including emails, phone calls, and inquiries, and respond or redirect as appropriate.
- Meeting Coordination and Documentation:
- Organize and coordinate meetings, workshops, and events, including scheduling, logistics, and agenda preparation.
- Record minutes and action items during meetings, ensuring accurate documentation and follow-up on key decisions and tasks.
- Information Management:
- Maintain organized and up-to-date filing systems, both physical and digital, for documents, records, and correspondence related to the Executive Director’s office.
- Manage confidential information with sensitivity and discretion, adhering to established protocols and policies.
- Collaboration and Liaison:
- Facilitate effective communication and collaboration among team members and external partners, fostering a culture of teamwork and mutual support.
- Liaise with other staff members and departments to coordinate activities and initiatives that align with the strategic objectives of IGE-SRH.
Qualifications and Requirements:
- Bachelor’s degree in Business Administration, Public Administration, Social Sciences, or a related field.
- Proven experience (minimum of 3 years) in an administrative or executive support role, preferably within the non-profit sector.
- Strong organizational and time-management skills, with the ability to prioritize tasks and manage competing demands effectively.
- Excellent written and verbal communication skills, with a keen attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to maintain confidentiality, exercise discretion, and handle sensitive information with professionalism and integrity.
- Demonstrated commitment to the mission and values of IGE-SRH, with a passion for advancing gender equality and sexual reproductive health.
Salary: NGN170,000 to NGN230,000
